Program Policies
Enrollment, payment, attendance, safety, pickup, behavior and media permission.
Version 1 · Last updated September 9, 2026
By enrolling a student, parents and guardians agree to follow S.N.A.P. Academy’s program, payment, safety, attendance, and pickup policies. Applicable policies must be reviewed and acknowledged before enrollment is confirmed.
Enrollment and payment
Space is limited, and enrollment is confirmed after registration and payment.
- Create an account in the parent portal.
- Complete the registration and student information forms.
- Complete the required safety and emergency forms.
- Submit the first month’s tuition.
- Receive enrollment confirmation and program details by email.
The first month’s tuition is due during registration. Beginning with the second month, tuition is due on the first day of each month. Parents will be notified if a payment is unsuccessful and will have five calendar days to correct it. A $15 late fee will be charged after the grace period. Accounts must remain current for students to continue participating.
No consultation or assessment is required before enrolling. Students complete a brief baseline activity during the first session. This is not a pass-or-fail test; it helps identify each student’s starting point and guides instruction.
Missed sessions
Tuition is not refunded or prorated for student absences. Makeup sessions are not guaranteed.
Withdrawals
Parents must provide written notice at least 15 days before the next billing date. Tuition already paid is nonrefundable.
If a program does not run
A minimum of six students is required for the Saturday Lab. If the minimum is not reached, families will receive a full refund or the option to transfer payment to a future program.
If S.N.A.P. Academy cancels a session and cannot reschedule it, families will receive a credit or a prorated refund.
Weather and emergency closures
Families will be notified by email and text message. S.N.A.P. Academy will attempt to reschedule the session. If it cannot be rescheduled, families will receive a credit or a prorated refund.
Drop-off and pickup
Students must be signed in and out. Pickup must be completed by a parent, guardian, or authorized adult. Identification may be required. Students will not be released to unauthorized individuals.
Parents have a 10-minute grace period after dismissal. After the grace period, a late fee of $1 per minute will be charged until the student is picked up. Late fees are added to the parent portal and must be paid before the student’s next session. Repeated late pickups may result in removal from the program.
Behavior
Students are expected to follow directions, respect others, participate appropriately, and follow safety expectations.
When a problem occurs, students are guided through the S.N.A.P. Framework™:
- Stop — pause the behavior.
- Notice — recognize what happened and how it affected others.
- Act — make a respectful and responsible choice.
- Plan — decide how to handle the situation differently next time.
Parents will be contacted if behavior is repeated, unsafe, or significantly disruptive to learning. Serious or ongoing concerns may result in removal from the program.
Illness
Students should remain home if they have a fever, repeated vomiting or diarrhea, symptoms of a contagious illness, or are unable to participate comfortably. Students should be fever-free for at least 24 hours without fever-reducing medication before returning.
If a student becomes sick during a session, a parent, guardian, or emergency contact will be called and prompt pickup is required.
Medication
Parents must disclose relevant medical conditions. S.N.A.P. Academy does not administer routine medication. Emergency medication is handled only under an approved written plan and applicable safety requirements.
Allergies and meals
Parents must disclose food allergies and dietary needs during registration. Reasonable accommodations will be considered. Parents may provide an appropriate meal when a dietary need cannot be safely accommodated. S.N.A.P. Academy cannot guarantee an allergen-free environment.
Lunch is provided as part of the Saturday Lab. Students should bring a refillable water bottle. Outside food should only be brought when approved for a documented dietary or medical need.
Emergency contacts
Parents must provide current contact information, at least two emergency contacts, medical and allergy information, and the names of adults authorized to pick up the student.
Media permission
S.N.A.P. Academy photographs and records selected activities to highlight student learning and share the program’s impact. During registration, every parent must choose either “I give permission” or “I do not give permission” for the use of their child’s photograph, video, voice and work. Only students with written permission appear in public media. Declining permission does not affect enrollment.
Field trips
Where a program includes a field trip, details and any additional permission needed will be sent to families in advance.
Parent communication
Program information is shared by email, text message, newsletter, and a parent communication platform.
