Privacy Policy

What we collect, why we collect it, and what we do and do not do with it.

Version 2 · Last updated September 30, 2026

This policy is not final. It describes what the website and the parent portal actually do today. The items marked to be confirmed need a decision from S.N.A.P. Academy and a legal review before this policy is published as final.

Who this policy is from

This website and the parent portal are operated by S.N.A.P. Academy, an educational organization in Huntsville, Alabama.

To be confirmed: the exact registered legal entity name and the monitored email address for privacy requests. Until that address is confirmed, privacy requests should be made by telephone on 256-384-5271, or in person by appointment at 117 Wholesale Avenue NE, Huntsville, AL 35811. A published email address that nobody monitors would be worse than none, so one has not been invented here.

What we collect

We collect different information depending on how you use the site.

  • Inquiries and interest lists. The name, email address and phone number you type into a form, the program you are asking about, your child's grade if you give it, and what you write in the message box.
  • Registration, provided by a parent or guardian. Parent and guardian contact details, student name and grade, emergency contacts, people authorized to collect a student, and any medical or dietary needs you choose to tell us for your child's safety.
  • Records created during a program. Attendance, work a student produces, an instructor's observations and any assessment used in a program. These are created by us rather than supplied by you, and they are treated as student records.
  • Volunteering. What you enter on the volunteer form. The public form does not ask for a Social Security number, fingerprint images or background-check reports.
  • Donations and purchases. Where these are taken, the record of the transaction we receive from the provider handling it.
  • Portal accounts. The email address and password used to sign in. Accounts are created by a parent or guardian, never by a student.

General inquiry forms do not ask for sensitive details, and you should not put them there.

How we use it

  • To answer your inquiry and to manage registration and attendance.
  • To contact you about sessions, schedule changes, closures and safety.
  • To take and record tuition payments and to issue receipts.
  • To release a student only to an adult you have authorized.
  • To run and improve our programs.

Essential program messages — confirmations, schedule changes, closures and safety notices — are sent to enrolled families and are not optional while a child is enrolled. Interest-list updates and other optional mail are separate, are chosen per program, and every one of them carries a working unsubscribe link.

Sharing, and permission for photographs and student work

We do not sell information. We share it only where it is necessary to run the organization, and only as far as necessary:

  • with the service providers listed below, who act on our instructions;
  • where the law requires it, or to protect a student's safety.

Partner schools and organizations do not get access to student records.

Media permission is separate from enrollment and is never a condition of it. A student whose parent or guardian has not given written permission does not appear in any published photograph, recording or work. Where permission has been given, approved media may appear on this website, in printed material and on S.N.A.P. Academy's own social media accounts. You may change or withdraw permission at any time by telling us, and we will stop using the material and remove it from anything we control. Material already printed, or already shared onward by somebody else, cannot always be recalled, and we say so rather than promising otherwise.

Service providers

  • Website and database hosting: Hostinger. The site and its database run there.
  • Email: the mail service configured for the site sends confirmations and program messages.
  • Payments: to be confirmed. Card payments are handled entirely by the payment provider's own systems. S.N.A.P. Academy's database stores the amount, the date, the status and a reference from the provider. It does not store card numbers. The provider will be named here once it is confirmed.
  • Text messages: to be confirmed. Text alerts are offered at registration but the sending service is not yet configured.
  • Website statistics: none are running at present. If analytics are switched on later, this section will name the provider and link to its privacy notice before they are.

Cookies

This site sets one cookie, which keeps you signed in and keeps forms secure. It is required for the site to work and it is not used for advertising. No advertising or cross-site tracking cookies are set, so there is no tracking consent banner to show.

How information is protected

Passwords are stored as a one-way hash, so nobody at S.N.A.P. Academy — and nobody reading the database — can see your password. Traffic between your browser and this site is encrypted. Access to student and family records is limited to staff whose work requires it, and administrative changes are written to an audit log.

No system is perfectly secure and this policy does not claim otherwise. To be confirmed: backup arrangements and how long backups are kept.

How long we keep information

To be confirmed. Retention periods for each type of record — inquiries, interest lists, enrollment records, student work, attendance, payment records and portal accounts — need to be set by S.N.A.P. Academy, and some are governed by accounting and safeguarding obligations. They will be listed here, by record type, before this policy is final.

Seeing, correcting or deleting information

You may ask what information we hold about you or your child, ask us to correct it, or ask us to delete it. Contact us by telephone on 256-384-5271, or by appointment at the address above.

So that we do not give a child's records to the wrong person, we will check that you are the parent or guardian on the enrollment record before acting on a request. We will not be able to delete everything in every case: records we must keep for accounting, safeguarding or legal reasons are kept for as long as that obligation lasts, and we will tell you when that applies. Deleted records may remain in backups until those backups age out.

Children's information

Student information is provided by a parent or legal guardian, not by the student. Portal accounts are created and controlled by a parent or guardian.

Changes to this policy

The effective date and version of this policy are shown at the top of this page. When we make a significant change we will update that date and tell enrolled families by email. The version you agreed to at registration is recorded with your registration.
